You can share a public link to any file or folder in the cloud drive.

Note

You can only share content that is in a folder that was not defined by the administrator with Windows ACLs enabled. As of CTERA Portal version 8.2.x, the default when creating a cloud drive folder is to enable Windows ACLs.

To create a public link:

  1. Select a file or folder in your cloud drive and click the Link icon image.png.
    The Public Link to window is displayed.

  2. Click Create new link.
    The Public Links window is displayed with the link to the folder or file.

  3. You can manage the link.
    • Configure the file permissions as Preview Only, Read Only or Read/write, by clicking image.png.
      Note

      This icon can vary depending on default permissions level. For example, the preview icon is displayed for the Preview Only permission level.

      Preview Only share recipients are able to view the file using the CTERA Portal’s integrated document preview server. Users with this permission are unable to download, copy, or print the file.
    • Configure an expiration date for the link, by clicking image.png.
    • Remove an existing link, by clicking image.png and then Remove.
    • Create additional links to the file, by clicking Create new link.
    • Copy the link to your clipboard by clicking Copy. Then send it via email to people with whom you want to share the file.
  4. Click DONE.

After creating a public link for a file, the icon color changes: image.png.
After creating a public link for a folder, the folder icon color changes: image.png. All the files in the folder are accessible using the public link.
Clicking the image.png icon opens the Public Links window, where you can change the settings.

An external user that receives an email invitation with a file link can click on the link to open a browser window similar to the following:

Note

An external user that receives an email invitation with a folder link can click on the link to open a browser window which lists all the files and folders in the shared folder.

When a CTERA Portal is added as an App in Microsoft Teams, you can create a public link and share it directly in Microsoft Teams. The CTERA Portal and Microsoft Teams administrators are responsible for integrating the portal as an app within Microsoft Teams. Once the portal app is available in Microsoft Teams, end users can access the portal from within teams.

  1. In Microsoft Teams, click Apps.
  2. Click Add for the app you want to open in Microsoft Teams and then click Add.
    After the app is added, you click Open not Add.
    The portal is added to the Microsoft Teams navigation bar and the sign in page is opened in Microsoft Teams.
    Note

    Right-clicking the app displays a menu with the option to pin the app to the navigation bar or open it in a new Microsoft Teams window.

To share a public link from a portal integrated in Microsoft Teams, in Microsoft Teams:

  1. Access the CTERA Portal integrated in Microsoft Teams.
  2. Select a file or folder in your cloud drive and click the Link icon image.png.
    The Public Link to window is displayed.

  3. Click Create new link.
    The Public Links window is displayed with the link to the folder or file.

  4. You can manage the link.

  5. Share the link in Microsoft Teams by clicking image.png and then Share to Teams.

  6. Enter the name of the person in Teams to share the link with or the chat or group.
    The list of your most recent locations is displayed in the drop-down field.

  7. Click Share.
  8. Click Done and then click DONE to finish or View to show the public link where you shared it.
